A Google account with your domain e-mail and no Gmail: for Business Profile, Analytics and more

The short answer: to use Business Profile, Search Console, Analytics, YouTube or Google’s ads you do not need a Gmail address. You can create a Google account with your domain address: during sign-up, instead of creating a Gmail address, you choose to use the address you already have. The Google account takes that name, but it does not get a Gmail inbox: mail keeps arriving in your mailbox with us. Gmail’s menu names change with the version and with the language of your Google account: if you do not see exactly these words, look for the closest option in the same place.

What changes, and what does not

Situation What happens
Creating the account with the domain address Google sends a code to that address. It lands in your mailbox with us; open it in webmail.
The password The Google account has its own, separate from the mailbox password. Changing one does not change the other.
Using Google’s services You sign in to Business Profile, Search Console or Analytics with that address, and you can give other people access without sharing the password: being found on Google.
The mailbox is deleted, or the domain expires Google’s codes and account recovery stop arriving. You can lose access to the services that depend on it.
Later you move the domain’s e-mail to Google Workspace Google treats existing accounts on that domain as conflicting accounts and asks for the situation to be resolved. Read Google’s help before you switch: Google Workspace or Microsoft 365 on your own domain.

Creating it, step by step

1 Choose the address: for company services, prefer a role address that stays with the company (marketing@, info@) over an employee’s personal address: which addresses to create.
2 Open Google’s create-account page and choose the option for personal use or for managing a business, as fits.
3 At the address step, do not create a Gmail: pick the option along the lines of Use your existing email and type the domain address.
4 Confirm the code Google sends to the domain mailbox. If it does not arrive, check the mailbox is receiving: why your e-mail is not sending or receiving.
5 Set a password just for the Google account, different from the mailbox one, and switch on 2-Step Verification with a company phone: locked out: password and two-step.
6 Use it in the services and, in each one, add the other people as users with their own access.
This Google account depends on the mailbox and the domain. If the mailbox is deleted, the domain expires or the service is suspended for non-payment, Google’s codes stop arriving and you can lose access to your Business Profile and statistics. Keep the domain renewed and the mailbox active: what stops working if you do not pay.
Already have everything on a personal Gmail? In most Google services you can add the new account as owner or administrator and, once you have checked everything works, remove the personal Gmail. That way the company is not tied to one person’s account.
